The Executive Administrative Assistant will provide high-level administrative support to the Vice President of Programs & Services and other administrative staff. Must be able to exercise good judgment and always maintain confidentiality.
RESPONSIBILITIES:
Manage sensitive matters with high confidentiality and discretion, especially decisions directly impacting the programs and staff.
Use discretion, confidentiality, and sound judgment in high-level matters.
Prepare Word, Excel, Power Point presentations, agendas, reports, special projects, and other documents as required.
Receives incoming communication or memos on behalf of the programs. Reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
Performs office tasks, including maintaining records, ordering supplies,
Performs clerical and administrative tasks, including drafting letters, memos, invoices, reports, and other documents.
Attend meetings, prepare agendas, and take minutes as appropriate.
Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
Skillfully and professionally represent MAOF.
Be responsive to emails/texts/ and phone calls from staff, clients, vendors, and others conducting business with the Vice President.
Prepare and distribute correspondence for internal announcements to individual staff members or others.
Opens, screens, and routes mail.
Maintains Vice President’s calendar, schedules appointments, meetings, and travel arrangements.
Use discretion, confidentiality, and sound judgment to handle participant issues and the case files.
Regular attendance (assigned schedule).
Attend staff meetings, trainings, workshops, and conferences, asassigned.
Maintain a record-keeping system of program data, information, and files and generate and reconcile reports. Ensure strict confidentiality of all information and records.
Assist in preparing and coordinating any program special events and meetings.
Adhere to the organization and program policies, standards, and procedures.
Prioritizes conflicting needs; handles priorities expeditiously and proactively. And follows through on projects to successful completion, often with deadline pressures.
Duties and responsibilities may be added, deleted, and/or changed at the discretion of the Program Director.
Performs other related duties as assigned.
QUALIFICATIONS:
High School Diploma or equivalent required; AA degree or higher in Business Administration or related field preferred.
Minimum Five (5) years of related experience required in a clerical, secretarial, or executive assistant role.
Bi-lingual Spanish/ English required.

Ability to function well in a high-paced and at time stressful environment.
Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
Proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and Power Point)
Ability to maintain cooperative, diplomatic working relationships with co-workers, supervisors, and the public; work as part of a team and collaborate with colleagues; and complete projects under tight deadlines even when there are competing requirements and changes in assignments with minimal supervision.
Must possess a valid California Driver's License, have use of a motor vehicle, and provide evidence of auto liability insurance as required by law.
Ability to travel as required to MAOF program sites, meetings, and professional conferences, including travel by automobile and commercial airline when necessary.
