Under the direction of the Facilities Director, utilize skills with minimum supervision will provide a comprehensive executive, administrative, and developmental support to the Facilities Director.
Responsibilities:
Assists the Facility Director with a broad variety of administrative tasks including; calendar management,arranging complex/detailed data, generating itineraries and meeting agendas,expense reporting, preparing correspondence, etc.
Acts as a liaison and provide support to, arranging and handling all logistics for company projects and events (in-house & virtual); scheduling, agendas, developing presentation materials, record minutes, and arranging travel
Attends team & external meetings; takes/distributes notes and action items as needed.
Calendar, time and email management. Prioritizes and creates efficiencies by effectively managing calendar events, reading/routing email and drafting correspondence, scheduling meetings, etc.
Proactive researches and prioritizes upcoming issues and concerns while determining a course of action.
Keeps the Facilitates Director informed of all upcoming commitments and responsibilities, planning accordingly.
Further refines systems and processes for the Facilities Director to maximize efficiency.
Maintains physical/electronic filing systems.
Manages contact database.
Process expense reports.
Communicate with vendors and other third parties to support the management of various alternative asset classes,including real estate investments and other physical assets.
Assist in scheduling and organizing company events, off-sites, and meetings with external parties.
Manage relationship with building management company include but are not limited to service requests, parking management, cleaning crew and fire drill administration.
Create business documents and presentations to be shared with senior managements, directors, and external stakeholders
Maintains confidentiality of all communications and records.
Performs other duties as necessary for the implementation of the program.
Qualifications:
A minimum of 2 years of experience partnering with and supporting Executives -Experience directly supporting C-Suite Executives is ideal.
Experience working in this capacity in a Non-Profit Organization is highly desired.
Proficient in Microsoft Office Suite (Excel, PowerPoint, One Drive) & G-Suite.
Bachelor’s Degree preferred but not required.
Ability to work independently with minimum supervision.
Strong written and oral communication and organizational skills.
Ability to maintain cooperative, diplomatic working relationships with co-workers,supervisors, and the public.
Work as part of a team and collaborate with co-workers; and complete projects under tight deadlines even when there are competing requirements and changes in assignments.
Must possess your own vehicle at all times, a valid California Driver’s License and appropriate automobile insurance.
