Under general supervision and in collaboration with the Program Director(s) specifically, for programs noted in this job description, the Provider Specialist is responsible for ensuring that provider files are compliant with all applicable county and state guidelines.This role involves maintaining the accuracy of provider files and updating information as needed to support the efficiency and compliance of the child care subsidy programs.
RESPONSIBILITIES:
Utilizing strong organizational and communication skills with minimal supervision, the Provider Specialist will:
Receive licensed provider packets from Resource & Referral (R&R) and process documentation to determine provider eligibility in the subsidy childcare programs.
Update provider profiles across multiple databases to ensure data consistency and generate accurate monthly and ad hoc reports.
Review provider documentation for completeness and accuracy; approve or reject documentation within the required time frame and provide feedback to R&R.
Process Trust Line applications and correspondence in compliance with county and state requirements.
Maintain and update provider information;operational details including hours, absence policies, non-operational days,case notes, and status changes.
Enroll providers in payment methods (Pay card and Direct Deposit) and ensure appropriate documentation is submitted and processed.
Research provider concerns and follow customer service protocols, escalating complex issues to the supervisor when necessary.
Analyze and interpret provider documentation to ensure it satisfies agreement and policy requirements; effectively communicate with providers to clarify expectations or resolve issues.
Respond to inquiries from providers, parents,and internal staff regarding provider agreements.
Address and resolve verification requests,end-of-year 1099 forms, and historical data requests from providers and other stakeholders.
Collaborate with the Accounting and Payments Departments to address inquiries and discrepancies related to direct deposit accounts, Pay cards, and ACH returns.
Participate in work groups, committees, ad hoc meetings, and relevant conferences, as needed.
Perform other duties as assigned.
QUALIFICATIONS/REQUIREMENTS:
Associate’s degree preferred; High School Diploma required with a minimum of two years of relevant work experience may be substituted.
Ability to effectively train individuals in both small and large group settings.
Strong organizational skills with the ability to multitask and manage daily workload efficiently.
Capable of working independently with minimal supervision.
Excellent customer service and problem-resolution skills.
Excellent written and verbal communication skills.
Bilingual in English/Spanish preferred.
Self-motivated,proactive, and a strong problem solver.
Sincere commitment to providing quality service to the public.
Represent MAOF professionally and skillfully.
Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
Required to drive and travel. Must possess a valid California driver’s license, have an acceptable driving record, current automobile insurance, and personal vehicle at all times.
Physically capable of operating a vehicle safely.
Demonstrated ability to maintain cooperative and diplomatic working relationships with coworkers, supervisors, and the public.
Ability to work collaboratively as part of a team, manage competing priorities, and meet deadlines in a dynamic environment.
Must be fingerprinted and cleared through the Department of Justice. Live Scan clearance required.
Regular attendance required Monday through Friday, 8:00 AM – 5:00 PM; availability to work evenings and weekends as needed. Excellent attendance and punctuality required.
