The Eligibility Specialist is responsible for the maintenance and tracking of all the Centralized Eligibility List (CEL) Applications.
RESPONSIBILITIES:
Date stamp all CEL applications received over the counter and/or via the U.S. Postal Service;
Review all applications prior to the data entry and return via mail any CEL applications with discrepancies on the very next business day;
Enter CEL applications within 3 business days of receipt of CEL Application;
Mail out a ranking order letter to the applicants within 6 business days of receipt of the application;
Must file application once the CEL application has been entered to the CEL System;
As Instructed by the Program Manager and/or APP staff the Eligibility Specialist must generate lists and reports of eligible families based on Household, Preferred or as instructed;
Must maintain sign in log for CEL participants separately from regular clients sign in log;
Other duties as assigned by the Program Director, Program Manager, and or designee;
Organizes office communications, types, edits, formats, proofreads and client tracking;
Reviews all applications for completeness and eligibility determination;
Answer phone calls, takes and relays messages (answer calls promptly with proper phone etiquette);
Sets up and maintains a filing system;
Confidentiality of all sensitive information and records,
Maybe assigned to attend conferences and workshops,
As assigned, assist with special assignments;
Adhere to organization’s and program policies, standards and procedures,
Regular attendance Monday through Friday, 8:00 AM to 5:00 PM. (unless assigned otherwise),
Performs other duties as assigned.
QUALIFICATIONS:
High School Diploma or GED;
Two(2) years paid experience in office/clerical work;
10-Keyproficient; by touch preferred;
Able to handle high volume of work within the peak periods;
Intermediate computer skills with proficiency in the SMP system and Microsoft Excel &Word preferred;
Sincere commitment to provide quality service to the public;
Bilingual English/Spanish a required.
Sensitivity and ability to work well with diverse social, ethnic, religious, and cultural groups and communities;
Strong organizational and analytic skills;
Good oral and written communication skills. Strong knowledge of modern office procedures;
Ability to complete projects under tight deadlines,work some weekends;
Ability to maintain cooperative, diplomatic working relationships with co-workers,supervisors, and the public; work as part of a team and collaborate with colleagues; and complete projects under tight deadlines even when there are competing requirements and changes in assignments.
